Finding and Exporting Content

Your YaleSite keeps a separate content list for each content type. Use these lists to see every item of one type in one place. You can sort a list, filter it, and download it as a spreadsheet.

Open a content list

Select Content in the administrative toolbar. Then select the content type you want:

  • Manage Pages at /admin/content/manage-pages
  • Manage Posts at /admin/content/manage-posts
  • Manage Events at /admin/content/manage-events
  • Manage Profiles at /admin/content/manage-profiles
  • Manage Resources at /admin/content/manage-resources

Each list includes published and unpublished items. Use this to find work you did not finish.

What the table shows

Every content list shows a table with one row for each item. All five tables include these columns:

  • Title. Select a title to open that item.
  • Published. Yes or No.
  • CAS Protected. Yes or No.
  • Operations. The actions you can take on that item.

Some tables add more columns. Manage Posts and Manage Resources show the author. Manage Events shows the event date and format. Manage Profiles shows the affiliation. Most tables also show who last updated the item, and when.

Select a column heading to sort the list by that column.

Filter the list

Each content list has a set of filters above the table. Set one or more filters, then select Filter.

  • Title. Matches any part of a title.
  • Tags, Audience, and Custom Vocab. These are the taxonomy terms applied to the item.
  • The category for that content type. This is Category on pages and posts, Event Category on events, Resource Category on resources, and Affiliation on profiles.
  • Published Status. Published or Unpublished.
  • CAS Protected. Protected or Not protected.

Select Reset to clear all the filters.

Check which content is CAS protected

The CAS Protected column shows whether an item needs a Yale NetID to open. Yes limits the audience to people who sign in with CAS. No means that anyone can open the item.

CAS is an audience limiter, not a security measure. Treat everything on your site as public information, whether or not CAS protection is on. Two things follow from this:

  • CAS-protected items stay out of Google, YaleSites search, and Beacon. To help people find them, build a public page that describes what sits behind the login.
  • Files stay public even when the page that links to them is CAS protected. Anyone with the file URL can open it.

Keep confidential information off YaleSites. Use OneDrive or Teams for content that must stay private.

Set the CAS Protected filter to Protected to list every protected item of one content type. Use this to check that the audience for each item is the one you expect.

Export your content list

Select Export to CSV above the table. Your browser downloads a spreadsheet file. The file opens in Excel, Numbers, or Google Sheets.

The file has one row for each item, with these columns:

  • Title
  • URL
  • Published
  • CAS Protected
  • Event Date(s)
  • Resource Publication Date
  • Tags, Audience, and Custom Vocab
  • Category, Event Category, Resource Category, or Affiliation

When an item has more than one term in a column, the terms are separated by commas.

The export matches what is on your screen. If you set a filter first, the file holds only the items in the filtered list. Clear the filters, then export again to get the full list for that content type.

An export helps with a content audit or a link check before a redesign. It is also a way to share your content list with someone who cannot sign in to your site.
